Booking & Cancellation Policy
Effective Date: September 15, 2026
This Booking & Cancellation Policy applies to photography, imaging, and related services provided by Fidei Digital Enterprises, LLC d/b/a Fidei Digital (“Fidei Digital,” “Photographer,” “we,” “our,” or “us”), including residential and commercial real-estate photography, aerial photography, 3D or virtual-tour capture, headshots, portraits, corporate headshot events, print sales, digital image purchases, and related services.
Service-specific terms in an accepted order, estimate, invoice, license, release, or written agreement control if they conflict with this policy.
1. Quotes and Booking Confirmation
Quotes are based on information supplied by the client, including property location, type, approximate square footage, requested services, access conditions, timing, and intended use. Materially inaccurate information may result in revised pricing, scope, timing, or delivery.
A project is confirmed when the required booking steps are completed, which may include acceptance of terms, written confirmation, payment authorization, completion of an order form, or required access information.
2. Client Authority and Property Access
The person placing the order represents that they are authorized to order the services and to arrange access to the property or location. The client is responsible for obtaining any owner, occupant, association, venue, or other permission reasonably required for the shoot.
• Provide the correct property address, access instructions, lockbox or entry information, and known restrictions.
• Ensure the property is safe and reasonably accessible at the scheduled time.
• Secure pets and notify us of occupants, contractors, alarms, gates, or other conditions that may affect entry.
• Notify occupants and interested parties that photography may include interior and exterior areas.
• Remove or secure valuables, confidential materials, medications, weapons, personal documents, access codes, and items the client does not want photographed.
3. Property Preparation - Shoot As Presented
Unless a preparation, staging, or decluttering service is specifically included, the property will be photographed substantially as presented when Photographer arrives. The client is responsible for cleaning, decluttering, staging, landscaping, lighting preparation, and other desired presentation work before the scheduled start time.
Photographer may make minor adjustments when practical but is not responsible for cleaning, staging, moving heavy furniture, handling valuables, concealing personal information, or altering the property unless specifically agreed in writing.
A return visit requested because the property was not ready, staging later changed, work was incomplete, or an area was inaccessible is additional work and may be charged at the applicable return-trip or reshoot rate.
4. Payment
Unless otherwise stated in the accepted order or agreement, payment for real-estate services is due after capture and before final media are released for download or unrestricted use. Photographer may provide invoicing privileges, including agreed Net terms, to established clients or business accounts.
Photographer may withhold delivery links, downloads, or licensing rights until amounts due are paid. Retainers, booking fees, third-party charges, travel fees, rush fees, hosting fees, permit fees, and other project-specific charges may be required where applicable.
5. Cancellation and Rescheduling
Client cancellations or rescheduling requests received at least 24 hours before the scheduled start time may generally be accommodated without a cancellation fee, subject to availability.
A cancellation or rescheduling request received less than 24 hours before the scheduled start time may incur a $75 late-cancellation/rescheduling fee.
If Photographer arrives and the property cannot be accessed, the client or occupant refuses entry, or the shoot cannot reasonably proceed because of a client-controlled condition, a failed-access fee equal to 50% of the scheduled photography charge, with a $100 minimum, may apply. Any new appointment is subject to availability and may be billed separately.
Photographer may waive or reduce a fee in unusual circumstances at Photographer’s discretion; a waiver on one occasion does not modify the policy for future bookings.
6. Weather and Exterior Rescheduling
Cloud cover alone is not grounds for a weather cancellation. If rain, snow, high wind, lightning, severe weather, unsafe conditions, or another material weather condition prevents acceptable exterior or aerial capture, Photographer may complete feasible interior work and return once, within a reasonable scheduling window, to complete the affected exterior or aerial portion without an additional return-trip fee.
Additional returns requested for a preferred sky, season, landscaping condition, sun angle, or other aesthetic preference may be treated as additional work unless expressly included.
7. Aerial/Drone Services
Aerial services are conditional on lawful and safe operation. Photographer will determine whether a flight may proceed based on applicable FAA requirements, airspace authorization, temporary restrictions, weather, visibility, site conditions, people or traffic, equipment limitations, and professional judgment.
If aerial capture cannot be performed because required airspace authorization is unavailable or the location is subject to a legal restriction that prevents the planned flight, the client will receive a credit or refund for the unperformed aerial portion of the order unless the parties agree to a substitute service.
If aerial capture is prevented by temporary weather or safety conditions rather than a legal restriction, Photographer may make one reasonable return attempt at no additional return-trip charge. If the conditions remain unsuitable, the client may choose a credit for the unperformed aerial portion or another mutually agreed solution.
No particular altitude, viewpoint, number of aerial images, or flight is guaranteed where legal or safety limitations apply.
8. Delivery and Rush Service
Standard finished real-estate photographs are ordinarily delivered within 24 hours after completion of capture, subject to payment and circumstances outside Photographer’s reasonable control. This is a service target rather than an absolute guarantee.
Same-day or expedited delivery may be offered as an optional rush service for an additional fee when scheduling and production capacity permit.
3D tours, floor plans, virtual staging, advanced edits, video, and other third-party or specialty products may have different delivery times stated in the order.
9. Editing, Virtual Staging, and Material Alterations
Standard editing may include exposure blending, color correction, perspective correction, window balancing, cropping, minor cleanup, and comparable photographic refinements.
Virtual staging, digital decluttering, material object removal, day-to-dusk conversion, and similar edits that materially alter the property are client-requested add-on services unless explicitly included in a package. Photographer will not treat those material alterations as routine editing without client authorization.
The client is responsible for determining whether an altered image must be labeled, disclosed, or otherwise treated specially under MLS, brokerage, advertising-platform, or other applicable rules.
10. Real-Estate Image License
Upon full payment, Photographer grants the ordering client and, when applicable, the client’s affiliated real-estate brokerage a non-exclusive license to use the final delivered media to market the photographed property.
• The license includes use in the applicable MLS and the MLS’s authorized compilation, syndication, IDX, VOW, data-feed, archival, valuation, and related uses to the extent required by the MLS rules applicable to the listing.
• The license includes property marketing through brokerage and agent websites, listing portals, social media, email, digital advertising, printed property marketing, and comparable channels.
• After the listing closes, expires, is withdrawn, or is otherwise no longer actively marketed by the client, the ordering agent and affiliated brokerage may retain and display the media as part of a historical portfolio, sold-property announcement, or self-promotional record of the agent’s work.
• The license does not authorize a subsequent listing agent to reuse the media for a new listing without Photographer’s permission.
• The license does not authorize independent use by builders, architects, interior designers, stagers, contractors, publications, vendors, or other third parties. Those parties may request a separate license.
• Copyright remains with Fidei Digital Enterprises, LLC d/b/a Fidei Digital unless a separate written copyright transfer is signed.
11. 3D and Virtual-Tour Hosting
Unless otherwise stated in the order, hosting provided through Photographer for a Matterport or comparable hosted tour is included while the property remains actively listed, for up to six months from initial delivery, whichever occurs first. Photographer may deactivate or archive the tour after the property is reported sold, the listing expires or is withdrawn, or the included hosting period ends.
If the listing remains active beyond the included hosting period, continued hosting may be available for an additional fee. Reactivation or retrieval of an archived tour may also require an additional fee and is subject to platform availability.
Zillow 3D Home and other platform-controlled tours are also subject to the platform’s own hosting, listing, deletion, and availability rules. Photographer does not guarantee indefinite third-party hosting.
12. Corrections and Reshoots
The client should review delivered media promptly. Photographer will make reasonable corrections for a material technical error attributable to Photographer if reported promptly.
A reshoot is not automatically included for changed décor or staging, later-completed repairs, client preference, instructions not provided before capture, weather preference, or property conditions that existed at the time of capture.
13. Headshots, Portraits, and Model Releases
Headshot and portrait proofing, retouching, delivery, and usage rights are governed by the applicable package and any model release.
Photographer may request a separate model release from a headshot or portrait subject authorizing Photographer to use that person’s image or likeness for Photographer’s portfolio, website, social media, advertising, studio samples, print materials, competition entries, and other business-promotion purposes. For a minor, the release must be granted by an authorized parent or legal guardian.
For corporate or group headshot events, the business client is responsible for helping coordinate any participant releases agreed to for the event; a company’s booking alone does not necessarily grant an individual participant’s publicity rights.
14. File Storage
Clients are responsible for downloading and backing up delivered files. Photographer does not guarantee indefinite storage, gallery availability, re-downloads, or archival of final or source files unless expressly agreed in writing.
